Task Duplication and Multiple Assignees in

My Role: UX Researcher | Duration: 2 Week Sprint

Project Overview
Asana is a work management platform that allows teams to organize, track and manage their work. It available on the web and as a mobile application.
This project consisted of introducing a task duplication feature in the Asana mobile app and redesigning the task delegation feature so that multiple team members could be assigned to one task. We found from our user interviews, contextual inquires, and an analysis of an online Asana forum that these solutions would address the majority of concerns that inhibited positive user experiences.
My Role
This was a 4 person team project in which we were each delegated tasks to achieve our common goals. I lead the "define" portion of the UX research design process.

We started our research by doing a preliminary internet search of Asana's history, its place in the market, and reading online opinions of Asana users.
We also made our own accounts and did an audit of Asana elements and features.
From this we were able to form a hypothesis
Asana mobile users would have higher satisfaction and productivity if they were able to easily collaborate with their other team members
Competitive Analysis
Starting off our research, I did a competitive analysis of three other work organization apps. We chose Miro, Monday, and Trello to do a feature inventory on. The online Asana forums main concern was the lack of task duplication and inability to assign multiple team members to one task; therefore I focused on these features in competitors' apps.
I found that the majority of Asana’s competitors had the 2 features that it was missing excluding Miro and its lack of an explicit task duplication feature.

Comparative Analysis
Along with the competitive analysis I did a pluses and deltas analysis of 3 other programs or apps: Google Calendar, Apple Messages, and Slack. I chose these 3 because they had organizational and communication purposes that we felt we could learn from in our Asana feature redesign
What I wanted to glean from these pros and cons was what features and elements these programs had that could possibly be useful to Asana and their users such as the ability to add multiple people to a message or task, actionable collaboration, and a variety of communication methods.

User Insights
We analyzed an Asana online forum and conducted contextual inquiries and user interviews. From those research methods we gathered insights from users regarding their thoughts about Asana.
Overall we found that experienced users were frustrated with the continued limitations of the Asana app and new users were confused on how to use the app properly.

Persona
Keeping Asana's target users in mind, I created Shae.

She is a Project Manager at a tech start-up
As a very busy person she needs a way to keep her team organized and productive
Shae needs a way to assign multiple team members to a task from on her work management app because she is often on the go and wants to cultivate a collaborative work environment while maintaining high productivity.
What's the Problem?
When thinking of solutions to this problem I considered the questions...
How might we?
Encourage collaboration by allowing for multiple team members to be assigned to one task in the mobile app?
Simplify task creation by allowing for task duplication in the mobile app?
Mapping it out
Once we figured out what solutions we were going to create I began mapping out the flow of the "multiple assignee" task and sketching out what it would look like on the app.

After completing my userflow and sketches I passed them onto my team member who was in charge of the final wireframing and prototyping.
Although prototyping was not in the scope of my responsibilities for this project, my discovery and defining tasks assisted in the creation of the final product, the prototype.
